Which medical documents we translate

Most often we are asked to translate documents for treatment abroad, for a second opinion from an international specialist, for insurance claims, and for the import or registration of medicinal products. We work with a wide range of medical documentation — from a single certificate to a full case history of several hundred pages.

Why a medical translation is usually needed

The most common situations are treatment abroad (Turkey, Israel, Germany, Poland, the Czech Republic), a second opinion from an international specialist on a Ukrainian doctor’s findings, insurance reimbursement after treatment abroad, vaccination records for study or work, registration and import of medicinal products, applying for disability status abroad, and continuation of treatment in a partner country.

How we ensure accuracy

Medical texts are assigned to translators with medical education or with many years of dedicated experience in medical translation — people who know clinical and diagnostic terminology, Latin, ICD-10, the formats of Ukrainian medical reports and the abbreviations doctors use. Each translation goes through a separate editor review, with a dedicated check of numerical values (doses, concentrations, weights, volumes, lab results) — the area where the cost of an error is highest.

Confidentiality

Medical documents contain sensitive personal data. We work with strict confidentiality: we sign an NDA on request, your documents are not shared with third parties, and copies are deleted after the order is delivered. Access to the files is limited to the translator, the editor and the office manager.

Price and turnaround

The base rate is from 250 UAH per page of 1,800 characters with spaces. The final price depends on the language pair, complexity of the text, presence of handwritten parts and the volume. The standard turnaround is 2–3 business days. For an exact price and timeline, please contact the office manager: send a scan or photo of the document by email or messenger.

How to order

Send a scan or a clear photo of the document to the office manager by email, Telegram or Viber. We will assess the volume, the language pair and the complexity, and confirm the price and a realistic deadline. Once you approve them, we put the work into production. The finished translation can be delivered as a signed and stamped PDF by email, or as a paper original collected at our Dnipro office.

No. The translation is done by a translator with a medical background or many years of experience specifically in medical translation. The text is then reviewed by an editor. We do not provide medical advice and do not interpret diagnoses — we only render the original text accurately into another language.

Medical translation requires special training of the translator, knowledge of clinical and Latin terminology, and a dedicated check of numbers and doses. We cannot assign a medical record to a generalist translator — it is a question of quality and safety.

Yes. If the documents are being submitted to official authorities (an insurer, an embassy, a medical institution abroad), we arrange notarial certification of the translator’s signature. If required, we also arrange the apostille on the original document.

If the clinic requires a certified translation, we provide the translation with the bureau’s stamp and the translator’s signature (or with notarisation if needed). This is the standard format accepted by most foreign medical institutions. If the clinic specifically requires a sworn translator, please tell us in advance and we will agree the right route.

Latin names of drugs and anatomical structures are kept in Latin (as is standard in international practice). Doses, concentrations and units of measurement are rendered exactly as in the original, with a dedicated cross-check by the editor. When useful, we add a translator’s note with the ICD-10 equivalent.

Yes, but handwritten documents (especially doctors’ notes) take more time and may cost more because of the need to decipher them. The best approach is to send a clear photo or scan — the office manager will tell you whether we can read the handwriting and how long it will take.
